Scheduled Tasks

Anything your sidekick does on a schedule lives here: reminders you asked for, its morning brief, its regular Pulse, and abilities you've set to run on a rhythm.

Where to find them

  • All your sidekicks: Scheduled Tasks in the admin sidebar shows every reminder, brief and scheduled ability, and you can filter by sidekick.
  • One sidekick: the Scheduled Tasks tab on that sidekick's Sheet shows the same list for just that sidekick.

A sidekick's Scheduled Tasks tab: delivery settings at the top, then the Pulse line and upcoming items grouped by day.

Each row is labelled by kind. Plain reminders have no label. BRIEF marks a summary from Senses, and ability marks a scheduled ability run. A line above the agenda shows how often each sidekick's Pulse looks (for example, "farah looks every 30 minutes · next 6:00 pm"), with a link to Senses.

Where reminders arrive

At the top of the page, Reminders by lets you tick Email, Telegram, or both. A channel you can't use yet stays visible but greyed out, and hovering over it tells you what's missing. Telegram, for example, needs you to link your Telegram account first, under Profile Settings → Channels.

Times in … shows the timezone used for every time on the page. Click it to change it.

Your sidekick sends email reminders from its own address, so it needs one. Switch on Email under Connections on its Sheet. If a channel keeps refusing a reminder, it's delivered in the app instead and flagged on this page so you can fix the channel.

Creating reminders in conversation

If the Scheduled Tasks ability is switched on for your sidekick, just ask in chat:

"Remind me every Friday at 4 to submit invoices."
"Remind me in two hours to call the printer."
"Can't do it now, remind me tomorrow morning."
"I already took the trash out."

Your sidekick creates, snoozes, reschedules, skips or marks reminders done, and they appear on this page straight away.

Importing from a document

Have a checklist, a house manual or an SOP full of recurring jobs? Let your sidekick pull the reminders out of it.

1

Open "Import from a document"

Choose the sidekick, then paste the relevant section, or drop in a file (PDF, DOC, DOCX, TXT, MD or SRT).

2

Click "Read it and suggest reminders"

You'll get a list of proposed reminders. Times your document didn't state are marked suggested.

3

Review and create

Use Select all / Select none, then Accept suggested times or Set suggested times to a time of your choice. Click Create reminders, or Discard to start over.

Scheduling an ability

Schedule an ability has a sidekick run one of its abilities on a rhythm, for example a market check every Monday morning.

  • Sidekick and Ability: who runs what.
  • Call it: a name you'll recognise on the agenda, such as "Monday market check".
  • Settings (JSON): what to pass to the ability, for example {"query": "election"}. Leave it empty if the ability needs nothing.
  • When (cron): the schedule, written as five fields: minute, hour, day of month, month, day of week.
CronMeans
0 9 * * 1Every Monday at 9:00 (the default)
30 7 * * *Every day at 7:30
0 17 * * 1-5Weekdays at 17:00
0 8 1 * *The 1st of every month at 8:00

If the ability does something outside Sidekick Forge, like posting, sending or changing something, you'll need to tick This one acts on its own. It confirms that you understand it will happen automatically, every time, without asking you first. Then click Schedule it.

Working with the agenda

Upcoming items are grouped by day. Each reminder has these buttons:

ButtonWhat it does
✓ DoneMarks this occurrence done. A repeating reminder moves on to its next date.
SnoozeReminds you again in 2 hours.
SkipSkips this one occurrence.
PauseStops the reminder until you Resume it. Paused items are listed separately, and you can Delete them from there.

After you mark something done or skip it, a small message appears with an Undo button for a few seconds, in case you clicked the wrong row.

When a task stops

If a task fails in a way that won't fix itself, for example a channel that keeps refusing, it's paused instead of failing again and again. It then appears at the top of the page under stopped and need attention, together with the reason. Fix the cause, then click Resume.

If you ever see Scheduled tasks are not running, nothing has been lost. Everything stays scheduled and goes out once the scheduler is back. If it doesn't clear up, write to help@sidekickforge.com.
