Knowledge Base
The knowledge base is the library your sidekicks read from. Upload documents or pull in a website, choose which sidekicks can use each item, and, if some content is for members only, choose who may read it.

How it works Uploading documents Adding a website Managing your documents Which documents a sidekick reads Access tags: who may read what Citations Retrieval settings Tips for better answersHow it works
When you add a document, Sidekick Forge splits it into passages and indexes each one by meaning. When someone asks a question, the sidekick finds the most relevant passages, reads them and answers from them, citing its sources if you want it to. This is often called RAG (retrieval-augmented generation). In practice it means your sidekick answers from your material, not only from general knowledge.
Documents take from a few seconds to a few minutes to process, depending on their size. Statuses:
| Status | Meaning |
|---|---|
| Processing | Being read and indexed. Not searchable yet. |
| Ready | Indexed. Sidekicks with access can use it. |
| Error / failed | Something went wrong, often a scanned PDF with no text or an empty file. Press Retry Failed at the top of the page to try again. |
Uploading documents
Open Knowledge Base in the sidebar. The supported formats are PDF, DOC, DOCX, TXT, MD and SRT (subtitle files, useful for video transcripts). Files can be up to 100 MB, within your plan's per-file limit: 5 MB per document on Adventurer and 50 MB on Champion.
Grant Access to Sidekicks
Leave All Sidekicks (Current and Future) ticked so every sidekick, including ones you create later, can use the documents. To limit them, untick it and tick specific sidekicks under Or select specific agents.
Drop your files
On the Upload Files tab, drag files onto the drop zone or press Choose Files. You can upload many at once and watch their progress.
Wait for "Ready"
When a document shows Ready, ask your sidekick about it to check it's being used.
Your plan sets how many documents you can store: 50 on Adventurer, unlimited on Champion and Paragon. See Plans.
Adding a website
On the Add Website tab you can scrape web pages straight into the knowledge base:
- Website URL, plus an optional Title and Description.
- Crawl multiple pages: follows links on the same domain, up to Max pages to crawl (100 at most).
- Exclude paths (optional): patterns to skip, such as
/tag/*, /archive/*. - Include paths only (optional): crawl only matching pages, such as
/docs/*.
Press Scrape & Add to Knowledge Base. Each page becomes its own document and keeps a link back to the original, so citations point people to your live page.
Managing your documents
- Search inside documents. The search box looks inside your documents, not only at titles. It understands quoted phrases (
"refund policy"), several words, and-wordto exclude. - Filter by status to find what's still processing or what failed.
- Bulk actions. Tick documents (or the box next to Uploaded Documents) and choose Manage access…, Require access tags… or Delete selected.
- Access on a row opens Manage Document Access for that document: Which sidekicks can use it and What a reader must hold.
Which documents a sidekick reads
On each sidekick's Sheet, the Mind tab has a Knowledge Base card. It lists every document linked to that sidekick and shows whether each one is ready to use. Press + Add documents to link more from your library. Results to return sets how many passages it reads per question.
Access tags: who may read what
If some of your content is for paying members or staff only, access tags keep it away from everyone else. This applies even when the same sidekick answers both groups.
- Press Access tags above the document list and create a tag, for example
premium. Its slug is permanent, but you can change its label. - Mark documents as requiring the tag: tick them and choose Bulk actions → Require access tags…, or set What a reader must hold on a single document. Those documents show a Restricted badge.
- Give the tag to people: press People next to the tag, then Give it to someone and enter their email. Members signed in through your WordPress site can receive tags from their membership level automatically.
The tag manager warns you when a setup doesn't make sense. A tag "Required by … documents and held by nobody" hides those documents from everyone. A tag "Held by people, required by nothing" restricts nothing yet.
Citations
When an answer draws on your documents, the sidekick can show its sources under the reply: the document name, its site, and a +N badge if there are more. Visitors can follow the link to the original. Turn this on or off with Show Knowledge Base Citations in the sidekick's Settings tab.
Retrieval settings
On Champion and Paragon plans, your workspace Settings page has two advanced cards. The defaults suit almost everyone.
- Embedding Configuration: the model that turns text into searchable meaning. Changing it re-processes every existing document, so do it before you upload a large library, not after.
- Reranking Configuration: a second pass that puts the best passages first. It improves answers a little and adds a little delay.
Tips for better answers
One topic per document
A focused "Refund policy" document gets found more reliably than a 200-page handbook where refunds are one paragraph on page 143.
Use clear headings and plain text
Descriptive headings help the right passage get picked. Scanned PDFs are images with no text in them, so convert them to text first or they'll fail.
Remove old versions
If last year's price list is still there, the sidekick may quote it. Delete or replace outdated documents.
The sidekick doesn't seem to know something
- Check the document is Ready and linked to that sidekick (Mind tab → Documents).
- Use the search box on the Knowledge Base page to make sure the words really appear in the document.
- Raise Results to return if the answer needs details from several documents.
- If the document is restricted, check the person asking holds the right access tag.
